Primary Responsibilities:

  • Primary point of contact for all speakers
  • Coordinate speaker logistics and requirements
  • Manage speaker communications before, during, and after event
  • Ensure speakers have necessary information and support

Key Activities:

  • Send speaker confirmation and information packets
  • Collect speaker bios, photos, and presentation materials
  • Coordinate speaker arrival times and check-in
  • Manage speaker room and green room
  • Handle speaker questions and special requests
  • Coordinate with A/V team on technical requirements
  • Send thank you communications and certificates post-event

Time Commitment:

  • Varies by role and proximity to events
  • Expect increased time commitment as events approach
  • Conference roles ramp up significantly 1 – 2 months before the event
  • Event days typically require full-day commitment
