Project Manager


Primary Responsibilities:

  • Track and manage timelines for all operational and conference activities
  • Coordinate cross-functional initiatives between year-round and conference teams
  • Maintain project documentation and status tracking systems
  • Identify potential risks and bottlenecks in planning and execution
  • Support both Operations Director and Conference Director with project coordination
  • Facilitate communication between teams and ensure alignment on deliverables

Key Activities:

  • Create and maintain project schedules and milestone trackers
  • Send reminders and follow up on pending tasks
  • Document decisions and action items from meetings
  • Coordinate logistics for team meetings and planning sessions
  • Generate status reports for leadership
  • Assist with vendor coordination and contract tracking

Skills Required:

  • Strong organizational and time management abilities
  • Excellent written and verbal communication
  • Proficiency with project management tools and methodologies
  • Ability to work with diverse volunteer teams
  • Problem-solving mindset

Time Commitment:

  • Varies by role and proximity to events
  • Expect increased time commitment as events approach
  • Most year-round roles: 2 – 5 hours per week
  • Event days typically require full-day commitment
